PAYMENT AND OPERATING RULES
PAYMENT AND OPERATION POLICY
Please review the following before making a reservation:
Prepayment: After making a reservation, a prepayment (deposit) is required. The amount of the prepayment and the payment deadline are determined during the booking process via email or telephone. The prepayment must be made to the bank account provided in the booking confirmation email or available on our website: pensjonatmikolajki.pl.
Cancellation Policy (Deposit): Please be advised that failure to pay the deposit by the specified deadline will result in the cancellation of the reservation.
Payment for Stay: Payment for the entire stay must be settled on the day of arrival. In the case of late arrivals (after 10:00 PM), payment must be made the following morning. We accept cash or card. Deferring payment until the end of the stay or paying in installments during the stay is not permitted.
Invoices (VAT): If you wish to receive a VAT invoice for your company, it is strictly required to notify us and provide your Tax Identification Number (NIP) no later than on the day of arrival, before making payment (before the fiscal receipt is issued). Issuing a company VAT invoice based on a receipt without a NIP number is legally impossible once the receipt has been generated.
Early Departure: Once payment has been made, the Guest may cancel or shorten their stay; however, the facility does not refund the payment for the unused portion of the stay.
Cancellation Terms: In the event of cancellation less than 30 days prior to the planned arrival date, the deposit is non-refundable in full. However, it is possible to reschedule the stay for another date within the same calendar year.
Fixed Rate: The fee for the selected room/stay is charged according to the price established during booking. No deductions will be made for unused services (e.g., breakfast) or a smaller number of occupants in the room than originally booked.
Breakfast: The room is sold with breakfast included in the price. Please be informed that the cost of breakfast is not deductible from the room rate if not utilized.
Check-in / Check-out: The hotel day begins at 2:00 PM on the day of arrival and ends at 11:00 AM on the day of departure. Please return the key to the reception upon check-out.
Occupancy: The maximum number of guests allowed in a room is specified in the reservation. The facility reserves the right to refuse accommodation or charge an additional fee if this number is exceeded.
Visitors: Unregistered visitors may stay in the Guest’s room only with the consent of the staff and no later than 10:00 PM.
Quiet Hours: Quiet hours are observed in the facility from 10:00 PM to 7:00 AM.
Parking: Parking is available for our Guests at a rate of 50 PLN per day.
Pets: Pets are allowed upon prior agreement and for an additional fee. The owner is obliged to keep the animal on a leash/in a carrier in common areas of the facility and to immediately clean up any waste. The additional cost is 50 PLN per day.
Smoking Ban: There is a strict ban on smoking tobacco and e-cigarettes throughout the facility. Violation of this ban will result in a contractual penalty of 500 PLN.
Fire Safety: For fire safety reasons, the use of immersion heaters, irons, and other electrical appliances that are not part of the room’s equipment is prohibited in the rooms.
Lost Key: A fee of 50 PLN will be charged for the loss of a room key.
Liability: The Guest bears full financial responsibility for any damage or destruction of the facility’s equipment and devices caused by their fault or the fault of their visitors.
Other Matters: In matters not covered by these Payment and Operation Rules, the provisions of the Civil Code and the full Regulations for the Provision of Hotel Services available at the Reception and on the website pensjonatmikolajki.pl shall apply.
COMPLAINTS AND RIGHT OF WITHDRAWAL
1. Complaints
The Service Provider pledges to provide services free of defects.
The Customer has the right to file a complaint regarding the services provided.
Complaints may be submitted in writing to the address: SPDC Consulting Szymon Dziak-Czekan, ul. Osiedlowa 72, 05-082 Stare Babice or via e-mail to: rezerwacje.pensjonatmikolajki@spdc.pl.
The complaint should include: Customer details, reservation number, and a description of the raised objections.
The Service Provider will consider the complaint within 14 days of its receipt and inform the Customer of the resolution.
2. Right of withdrawal from the agreement
Pursuant to Art. 38 item 12 of the Consumer Rights Act of 30 May 2014, the right to withdraw from a distance contract is not applicable to the consumer with respect to contracts for the provision of accommodation services, other than for residential purposes, if the contract specifies the day or period of service provision.
Cancellation rules and deposit refund policies are defined in the “Payment and Operation Policy” section of these Regulations.
3. Payment methods and service fulfillment
Available payment methods are: traditional bank transfer, card payment, or online transfer (Paynow payment gateway).
The service is considered fulfilled at the moment the Guest’s stay at the Facility ends. The confirmation of purchase (delivery) is the e-mail message containing the reservation confirmation.
